Job Title: Corporate Team Secretary
Description
Our client is a leading corporation who are looking to expand their team support in Milton Keynes. They are looking for a Team secretary who is looking to gain experience working in a corporate environment for a 6 month fixed term contract.
Job description
To provide reception and secretarial support to the Corporate Property Management office team.

Main responsibilities

1. Administrative assistance is provided to the whole team. Whilst the responsibilities are divided between the Office Administrator and Secretaries, flexibility is essential to both enable the Secretary and Administrator to work together efficiently as a team, and take responsibilities on in the absence of the Administrator and Secretary.
2. Reception duties. Taking and dealing with incoming telephone calls. Dealing with incoming and outgoing mail.
3. Entering and updating information held on a database holding details of our clients property interests. Creating reports for all the portfolios.
4. Entering and updating information held on the firm’s computerised database, including entering of new instructions, clients and contacts.
5. Copy and audio typing using Word 2003.
6. Filing, photocopying, binding.
7. Organising diaries for the team (via Outlook), making meeting and travel arrangements, organising refreshments at meetings, as necessary.
8. Drafting of correspondence under the direction of the Partners or Associates concerned.
9. Creating invoices and generating invoice numbers and billing guides from the firm’s computerised invoicing system and keeping a record of invoices sent.
10. General office duties as allocated by the Office Administrator to ensure the smooth running of the department.

Key attributes and qualifications

• Fast and accurate typing (65wpm+), combined with an advanced knowledge of Word, including tables. Familiarity with Excel, PowerPoint and databases.
• Experience in similar role in small/medium sized organisation essential. Having worked in a professional/partnership environment would be helpful.
• Well organised; capable of getting things done working to tight deadlines, using initiative and common sense.
• Flexible, self motivated with a real desire to deliver excellent customer service.
• Good written/communication skills with an eye for detail.
• Good time-keeper. Well-presented. Capable of working in a team and without supervision.

• Commitment to developing technical knowledge and understanding of the professional environment in which clients and fee-earners operate and the issues which they face.
