Job Title: PA
Description
My Successfulretail client is looking to recruit a PA to the MD to provide efficient and high quality support to the MD, demonstrating the ability to be commercially focused, work under pressure and under own initiative, utilise excellent communication skills and ensure that confidentiality is maintained at all times.

Duties will include:

Diary management, arrange appointments, meetings, maintenance of diaries and taking action as required or directed.

Provide a comprehensive administrative service including maintenance of office systems and filing etc. Undertaking sales administration work, processing orders, liaising with top level customers and managers.

Undertaking project work as required eg helping organise shows/trade fairs.

Have the ability to prioritise work and ensure that all deadlines are completed on time.

Work closely with the MD and communicate effectively with them and external customers.

To act as the point of contact for the MD for all external communications and to communicate, on a day-to-day basis, with all staff using tact and diplomacy where appropriate.

Effectively communicate the MD’s instructions in an appropriate manner to other members of staff and ensure tasks are followed up where necessary.

Manage daily correspondence and follow up queries with the MD.

Be commercially aware, identify ways of improving systems and saving money.

Field all the MD’s calls ensuring that messages are passed on promptly, dealing with enquiries and actioning as appropriate.

Ensure that any complaints are immediately forwarded to the MD promptly so they can be properly investigated and following up appropriately.

Organise and co-ordinate travel/accommodation for the MD, complete expenses and liaise with the Accounts Department in a timely manner.

Produce EXCEL reports as required and use own initiative to create new reports which would add value to the business.

Ensure that all company policies and procedures are adhered to at all times.


Personal Specification

Highly organised
Minimum of 3 years experience in a senior level position

Applicants need to be able to demonstrate:

Fully computer literacy including Excel (competency with analytical work is necessary), Powerpoint, Word, and Outlook. Knowledge of Sage or other accounts package also an advantage.

Excellent organisational & interpersonal skills are essential in addition to the ability to effectively manage workloads and people.
